Automated driver qualification tracking that warns you first.
Every driver’s CDL, medical card, annual MVR and annual review runs on its own clock. Fleetive watches all of them and alerts you before one lapses — the job a spreadsheet structurally cannot do.

What is automated driver qualification tracking?
Automated driver qualification tracking is software that monitors the expiry dates inside each driver’s qualification file — CDL, medical examiner’s certificate, annual MVR and annual review — and alerts the carrier before any of them lapses. It differs from document storage: a shared drive holds the file, but only tracking tells you that a medical card expires in 30 days while there is still time to act.
How Fleetive helps
- 1
Set the required document list per driver type
Company driver, leased owner-operator and intrastate drivers need different files. Fleetive applies the right 49 CFR §391.51 document set to each so nothing is tracked that does not apply — and nothing that does is missed.
- 2
Let drivers upload from their phone
The CDL, medical card and signed forms arrive as the driver captures them, not as a folder of scans you rekey. The file starts complete instead of being reconstructed later.
- 3
Track every expiry date automatically
CDL, medical examiner’s certificate, annual MVR and annual review each carry their own clock. Fleetive watches all of them per driver, which is the job a spreadsheet structurally cannot do.
- 4
Get alerted before it lapses, not after
Alerts fire ahead of the date, so a renewal is a scheduling problem rather than a driver you have to pull off dispatch this morning.
- 5
Hand an auditor a complete file
Every document lives in one place with a full audit trail and soft-delete retention, so the file an auditor asks for is already assembled.
Common questions
What does automated driver qualification tracking actually do?
It watches the expiry dates a DQF depends on — CDL, medical examiner’s certificate, annual MVR and annual review — and tells you before one lapses. That is the whole distinction worth paying for. Storing documents is the easy half and a shared drive does it for nothing; the half that prevents violations is something noticing that a medical card expires in 30 days while there is still time to act.
Why is a spreadsheet not enough for DQF tracking?
A spreadsheet stores dates but does not surface them. It will hold a medical-card expiry perfectly and never once tell you it passed. Almost every DQF violation that traces back to a spreadsheet has that shape — the date was in the file and nobody opened the file. If you do stay on a spreadsheet, put every expiry date in a calendar with alerts, because the calendar is the part doing the compliance work.
Which dates need tracking for each driver?
The CDL expiry, the medical examiner’s certificate, the annual MVR, and the annual review of driving record — each on its own clock, per driver. Clearinghouse queries run on an annual cycle too. Multiply by your driver count and the reason manual tracking fails becomes arithmetic rather than diligence.
How far ahead should alerts fire?
Far enough that a renewal is schedulable. A medical card needs an appointment, and an alert on the expiry date itself is a notification that you are already non-compliant. Alerting well ahead, with a reminder as the date closes, turns it into routine work — which is the practical test to run on any product you are trialling.
Is a digital DQF compliant?
Yes — FMCSA permits electronic records provided they are accurate, accessible and reproducible. Fleetive stores DQFs digitally with audit trails and soft-delete retention, so records survive for the duration of employment plus the three years required after a driver leaves.
Do leased owner-operators need tracking too?
Yes. If a driver operates a CMV under your authority — including a leased owner-operator — a DQF is generally required, and their documents expire on exactly the same clocks. Carriers are most often caught out here, because an owner-operator feels like a vendor rather than a driver on the roster.
